In accordance with GDPR, this is a summary that explains what personal information we record about you, why we record it, how we store it, for how long, consent with whom we share it and your rights under data protection law.

For customers of Insurance companies or accident managers, hereafter referred to as “Work Providers”, they are (“The Data Controller”) and M&S Accident Repairs Ltd, registered in England (number 2719277) whose registered address is Elliott House, Ashford Road, Ashford, Middlesex TW15 1XB hereafter referred to as “M&S” we are known as (“The Data Processor”). The data we transact is confined to the agreement we have with the work provider and is confined to that of the United Kingdom.

Information we record about you;

With consent as a part of our products and services M&S offer, we may keep an up to date current record of your Identity; the owner and or driver of the vehicle, the registered address of the vehicle if registered in the UK and the parking location, your phone numbers and email, Vehicle identification details, driving licence information including current penalty points or convictions. Any payment information is processed at that time with your bank clearing company and is not recorded. Voice calls and CCTV are recorded.    

How your information is stored; 
Whether it is recorded on paper or held as electronic data, it is held securely. Physically locked in secure storage or held on a secure computer system.

Whom is your information shared;

We will not share your information with anyone outside of the processing departments of M&S, unless we have consent to do so for the legitimate business purpose of repairing your vehicle, where data collected by us is by virtue controlled by the work provider. Your data will be only be shared with the strict authority of The Data Controller which may include insurance claim departments, vehicle manufacturers’ their authorised main dealer and part suppliers, product providers, subcontractors, unless the requirement is made by law enforcement with authority of a court of law. Those who we may pass information too for the purpose of data processing, are known as “The Data Processor” and shall do so with ours or the works provider’s strict controls of non-disclosure.

 


 

 

Why we collect your information

Your information is stored by us to that we may fulfil our legal requirements under consumer protection law and any other regulatory requirements, if necessary. All calls are recorded and monitored for Training purposes. We will not collect any unnecessary data and will store it for any longer than it is necessary.

Access to personal information

If you wish to have access to data that we hold about you, for rectification, erasure or to restrict its use, you will need to make a written request know as a ‘subject access request’ to the Data Protection Officer, M&S Accident Repairs Ltd, Elliott House, Ashford, Middlesex, TW15 1XB or by email titled Data Subject Access Request to This email address is being protected from spambots. How long your information is stored;

For the purpose of collection and delivery, estimating and before a repair is carried out to your vehicle data is not held for any longer than it is needed and for no longer than 6 months where a repair was not authorised. From the date of vehicle repair completion your data and repair records are held for up to the statutory 3 years, unless required by the Work Provider then it will be up to seven years from after the completion of repair. Voice calls are kept for 2 months and CCTV recording for one month.

Your rights to complain
